Almost every business that sells or supports customers on WhatsApp starts the same way: someone installs the WhatsApp Business App on a spare phone, adds a catalog and a greeting message, and the number goes on the website. It works, right up until the day it doesn't — when two people need the phone at once, when a message gets missed over the weekend, or when someone asks, "Can we make this answer automatically?"
That is the moment the question comes up: WhatsApp Business App or WhatsApp Business API? They share a name and a green icon, and that is roughly where the similarity ends. This guide explains what each one is, what it costs, how to tell which one your business actually needs — and why, thanks to Meta's Coexistence setup, it is no longer strictly an either/or choice.
The short answer
| WhatsApp Business App | WhatsApp Business API (WhatsApp Business Platform) | |
|---|---|---|
| Best for | One person or a very small team | Teams, high volume, automation and AI |
| Cost | Free | Per-message fees from Meta plus a platform fee |
| Who replies | Whoever holds the phone (plus a few linked devices) | Unlimited agents and AI, from any device |
| Automation | Greeting and away messages, quick replies | Full automation: bots, AI agents, workflows, integrations |
| Bulk messaging | Broadcast lists, only to contacts who saved your number | Approved template messages to any opted-in contact |
| Integrations | None | CRM, e-commerce, calendars, help desks, APIs |
| Reporting | Basic message statistics | Conversation, agent and outcome analytics |
| Verification | Not available | Meta Business verification and the official business account badge |
| Setup | Install the app | Through a Business Solution Provider or a platform that includes it |
| Keep using the app alongside it | — | Yes, with Meta's Coexistence setup (see below) |
If you are one person answering a manageable number of chats, the app is fine. If more than one person needs to reply, if you want anything answered automatically, or if you want WhatsApp connected to the systems you already run, you need the API.
What the WhatsApp Business App is
The WhatsApp Business App is a free app for small businesses, available on iOS and Android. It gives you a business profile, a product catalog, labels to organise chats, quick replies for common answers, and simple greeting and away messages. You can link a handful of additional devices so a couple of colleagues can answer from their own phones or the desktop app.
Its limits are the limits of a phone app:
- One number, one inbox, one owner. There is no assignment, no queue, and no way to see who answered what.
- Manual everything. Follow-ups, order updates and appointment reminders are typed by hand.
- Broadcasts only reach people who saved your number. Lists are capped, and there is no way to schedule or personalise at scale.
- No integrations. Nothing flows into your CRM, store or calendar unless someone copies it there.
- No verification badge. The official business account checkmark is only available on the API.
None of this is a criticism. For a café, a freelancer or a boutique with one person on the phone, the app does exactly what it should.
What the WhatsApp Business API is
The WhatsApp Business API — officially the WhatsApp Business Platform — is not an app at all. It is a programmatic connection to WhatsApp that you access through a provider. Your number lives in the cloud, and messages are sent and received by software: a shared team inbox, a bot, an AI agent, or an integration with your own systems.
That changes what WhatsApp can do for you:
- Unlimited team members reply from a shared inbox, with assignment, notes and history.
- Automation at every level, from simple auto-replies to AI agents that qualify leads, book appointments and resolve order questions end to end.
- Template messages let you start conversations proactively — order confirmations, delivery updates, reminders, promotions — to anyone who has opted in.
- Integrations connect conversations to your CRM, e-commerce store, calendar and help desk, so a message becomes a record, a booking or an order without retyping.
- Analytics show volumes, response times, resolution rates and revenue attributed to conversations.
- Verification unlocks the official business badge and higher messaging limits.
The trade-off is that the API is software, not an app. You need a provider, your business has to be verified with Meta, and you pay for what you send. Until recently it also meant giving up the app on that number entirely — which is the part that has changed.
What the API costs
There are two parts to the cost of the WhatsApp Business API, and they are often confused.
Meta's messaging fees. Meta charges for business-initiated template messages, priced by category — marketing, utility and authentication — and by the customer's country. Replies inside the 24-hour customer service window that a customer opened are free. In practice, a support-heavy use case costs very little, while a marketing-heavy one is priced per message sent.
The platform fee. Meta does not give you an inbox, automation or AI. Your provider does, and charges a subscription for it. This is where prices vary most, from bare API access to full platforms that include a multi-channel inbox, AI agents, integrations and reporting.
When comparing providers, look at the two numbers separately. A low platform fee with per-seat charges and add-ons for automation can cost more than an all-in plan once your team grows. UVX's pricing bundles the platform, the AI layer and integrations; Meta's messaging fees are passed through.
Six signs you have outgrown the app
- Two people need the phone at the same time. Once replying becomes a shift rota, you are already paying the cost of the API in missed messages.
- Customers wait overnight. If chats arriving at 9 pm get answered at 9 am, an AI agent on the API answers them at 9:01 pm.
- You copy information into other tools. Orders into the store, leads into the CRM, bookings into the calendar. Every copy is a delay and a typo waiting to happen.
- You want to send updates, not just receive questions. Delivery notifications, appointment reminders and re-engagement need templates, which need the API.
- You are on more than one channel. If Instagram DMs, Messenger and email are answered by different people in different apps, you need one inbox, and the app cannot be part of it.
- You cannot answer "how many conversations did we handle last month?" Reporting is how you find out what WhatsApp is worth to the business.
If three or more of these sound familiar, the decision has been made for you.
What happens to your number when you switch
This is the question that stops most businesses, so here is the honest answer. There are now two official ways to move to the API, and the newer one removes most of the pain.
Option 1: Coexistence — keep the app, add the API
For years the rule was simple and painful: a number could live in the WhatsApp Business App or on the API, never both. Meta's Coexistence setup changes that. It is Meta's official way to connect a number that is already in the WhatsApp Business App to the WhatsApp Business API, while the app keeps working on the same number.
What that means in practice:
- Nothing breaks on day one. Your phone, your existing chats and the people who already message you carry on exactly as before.
- Messages sync both ways. A reply typed in the app appears in the platform inbox; a reply sent from the platform — by a team member or an AI agent — appears in the app. Customers see one continuous conversation.
- Your chat history comes with you. Coexistence syncs recent conversation history and contacts into the API side, so the platform is not starting from a blank inbox.
- You get the API's capabilities immediately. A shared team inbox, AI agents, template messages, integrations and reporting all work on the number your customers already have.
- You still go through Meta Business verification and display name review. The onboarding happens inside the app through an embedded flow, and Meta requires the number to have been genuinely used in the WhatsApp Business App for a while before it qualifies.
UVX supports Coexistence natively, including the two-way sync: messages sent from UVX appear in the WhatsApp Business App and messages sent from the WhatsApp Business App appear in UVX, in real time. For a small team, this is the least risky way to grow into the API — the owner keeps the app on their phone, the team and the AI work from the platform, and nobody has to relearn anything on launch day.
Option 2: Full migration — move the number to the API only
The traditional route still exists, and it suits businesses that never want to use the app again or need a clean break.
- You can keep your number. You delete the account from the app, then register the same number on the platform.
- Chat history does not move. Export anything you need before you migrate; conversations start fresh on the API.
- The number then lives only on the API. Some businesses use a new number for the API and keep the app running for a few weeks while they redirect customers.
- Meta Business verification and display name review apply here too.
Which route to take
Choose Coexistence if the app is part of how you work today and you want to add a team, automation or AI without disruption. Choose full migration if you are consolidating to a platform-only setup, using a number that has never been in the app, or bringing in a fresh number for a new channel. A good provider walks you through either. Neither is complicated, but neither is something to do on a Friday afternoon without a plan.
Where UVX fits
UVX includes WhatsApp Business API access as one of eleven channels in a single inbox — alongside Instagram, Messenger, TikTok, Telegram, email, SMS and the rest. Every conversation lands in the same place with full history, whichever channel it came from.
On top of the inbox sits an AI layer that does more than answer questions. It uses tools you build and actions that reach into your systems, so it can check stock in your store, book a slot in your calendar or update a lead in your CRM inside the conversation — and hand over to a person when it should. Work that needs a human lands on Boards, where your team can see everything the AI is moving forward.
For a business coming from the WhatsApp Business App, the practical difference is this: you stop being the bottleneck. Messages are answered in seconds at any hour, nothing is copied by hand, and you can finally see the numbers.
Frequently asked questions
Can I use the WhatsApp Business App and the API at the same time? Yes, on the same number, through Meta's official Coexistence setup. The app keeps working on your phone while the number is also connected to the API, and messages sync in both directions. UVX supports this out of the box.
Do I need a new phone number for the API? No. You can connect your existing WhatsApp Business App number through Coexistence, migrate it fully to the API, or use a landline number that can receive a verification call.
Is the WhatsApp Business API free? The API itself has no licence fee, but Meta charges for business-initiated template messages, and you pay your provider for the platform that gives you an inbox, automation and integrations.
How long does it take to get set up? With a platform that includes API access, a verified business can be live in a day or two. Meta Business verification itself is the longest step and typically takes a few business days.
Will I lose my chat history? Not with Coexistence, which syncs recent history and contacts into the platform. With a full migration, history does not transfer, so export it first.
Will I lose the green checkmark by switching? The official business account badge is only available on the API, so switching is how you get it, not how you lose it.
Can the API send messages to people who haven't messaged me first? Yes, with approved template messages, to contacts who have opted in to hear from you. The app cannot do this reliably at scale.
Making the decision
Choose the WhatsApp Business App if one person can handle every chat, you have no need to connect WhatsApp to other tools, and you are happy answering manually.
Choose the WhatsApp Business API if a team needs to reply, you want automation or AI to handle routine conversations, you send updates and reminders, or WhatsApp is one of several channels your customers use.
And if the thing holding you back is the fear of giving up the app, you no longer have to. Coexistence lets you keep it while the API, your team and the AI work behind it.
If you are on the fence, the fastest way to decide is to see the API side working on your own conversations. Book a demo and we will set one up around the questions your customers actually ask — on your existing number if you like.
